A party planner is a service-based entrepreneur ​that specializes in organizing and executing ​various types of events, such as birthdays, ​weddings, corporate gatherings and special ​occasions. You will work closely with clients to ​understand their vision, coordinate logistics and ​ensure that every detail of the event is ​meticulously planned and executed. You will ​connect with vendors on their behalf to make the ​process simple and organized for them. Our job is ​to take the stress off their plates and keep the ​party FUN!

Role Description


  • Client Consultation: Conduct initial consultations to understand host needs and preferences.
  • Proposal and Sales Process: Develop a party plan, create invoices and send to the host for approval. During ​this process, you are not only creating a plan for the host to visualize their party, but you are building trust ​and making your SALE!
  • Event Planning: Develop party plans, focusing on the elements a host needs and supporting them through ​the planning process.
  • Vendor Coordination: Source and book vendors for specific party needs (ex: transportation, catering, decor, ​and other services). These vendors are ideally on the PartyPlease platform already or you invite them to join!
  • Event Execution - Virtual or In-person:
    • In person: Oversee the setup and execution of the event, ensuring everything runs smoothly.
    • Virtual: Ensure you confirm all set up/tear down with vendors prior to event day, ensure the host has all ​they need for event day (timeline, vendor information, decor set up information, etc.)
    • NOTE: Most parties are planned fully virtually, but there may be times when being on-site is what the ​host would like.
    • Post-Event Follow-Up: Gather client feedback and handle any post-event tasks.

Role Mindset


  • Entrepreneurship Mindset: This is key in growing and scaling your planning business. It takes time to build ​your referrals and background. Be patient and lean on our support team to help you book.
  • You will hear no! It takes a lot of no’s and quotes to get to your first YES! Stay determined and positive, you will ​start to book more and more parties with the right mindset!
  • Be an expert! There may be times you have to educate hosts on how much parties cost. Most of the time this is ​the first time a host is throwing a party or the first time they’re throwing a party of this size, so they have a ​different understanding of how much things may cost. Do your best to kindly explain the costs involved. This ​may also offer an opportunity for someone to expand their budget!
    • Build a book of business! The more vendors in your network you trust, the faster you can book and build ​parties. Find great vendors, add them to the platform and continue to scale!

Communication with Hosts

  • Outreach: We have a 24 hour policy to reply and reach out to leads follow-up with a text immediately and an ​email within 24 hours of recording the match. You will get an email and text when you’re matched with a new ​lead. Tip: Confirm with the client what their communication preference is to ensure you are communicating in the way ​that works the best for them.
  • Timeliness: Respond to all client communications within 24 hours. The faster you reply, the faster you will ​lock in and book your party!
  • Documentation: Keep records of all communications for reference and accountability.
  • Move them into the chat as soon as they are ready! There are many tools in chat and this helps speed up ​booking processes.

Planning Process


Initial Consultation

  • Conduct a detailed consultation to understand the client’s vision, budget, and preferences. This ​can be done via chat, email, text or zoom/ call. Ask the client's preference to ensure you are meeting the ​client at the communication best for them!
  • Document key details and confirm the client’s requirements. You can use this template to track ​your clients and capture notes when you’re doing a consultation: PartyPlease: Client Tracking ​Template. Recap to them post connection.
  • Consultations can be done via the platform chat, text, email, call or Zoom. Meeting the host where ​they are at is important - so, determine what communication is best for them and provide ​communication in that way.
  • Make sure you are being detailed and asking all your questions right away. Hosts like moving ​through the process quickly and it’s best to get all the details at the beginning vs. having to go back ​and ask for more details! If you are gathering details in the chat, send over the questionnaire!


Proposal and Approval



  • Develop a detailed proposal outlining the event plan, including themes, vendors, and estimated costs.​ LINK to template!
  • Proposals may be developed as one larger proposal (example: a full event plan) or as focused elements ​(example: just a balloon installation). Depending on the host’s budget and the timing of the party, this ​will determine how you present proposals.
  • Proposals are generally sent via the platform chat as invoices. If the budget is larger or the quote contains ​multiple elements, we’d suggest setting up a phone call or Zoom call to talk through the options with the ​host.
  • Present the proposal to the client for approval and make any necessary adjustments.

Tip: If you are waiting on multiple quotes from vendors, send at least a few for the host to start booking. If you want ​too long to send the full party plan, you may lose the host in the process. Hosts like knowing that you are moving ​quickly and this will help you close the sale faster!

  • Source and secure vendors for all aspects of ​the event the host would like support with.
  • Add vendors to the platform. This ensures ​seamless communication and invoicing.

  • You will be notified via text and email that your party is booked, as will your vendors who joined the ​platform.
  • Vendors are paid out upon booking, so make sure they join and set up payment. If you have an issue with ​the vendor joining, contact Molly
  • Confirm via email with all vendors party details
  • Build a run of show to share with the host and vendors (below)
  • If you are not in the location of the party, keep an eye out on the weather for any parties that may be ​impacted (ex. Rain during an outdoor party).

Event Day Execution!




  • If onsite, you may oversee the setup and execution of the event.
  • If not onsite, make sure you have organized everything ahead of time to ​ensure it runs smoothly and all vendors have the information they need.
  • Generally, vendors need the following information confirmed ahead of ​time to ensure a smooth set up/tear down process:
  • If virtually planning, check in with host and vendors to confirm all arrivals ​are on time
  • Ask vendors for photos of their set-ups
  • Wish the host an amazing party and to check-in with you as need. You ​will follow up post party!


Post Party Follow-up

  • You did it!!
  • Gather client feedback and address any concerns.
  • Complete any remaining tasks.
  • Request reviews and tips if desired.

  • Action: Schedule regular updates via the preferred ​communication method of the host (app, text, email). ​Immediately after sending a proposal, confirm receipt and ​answer any initial questions. Follow up within 24 hours to ​address any further inquiries or concerns.

2. Proactive Check-Ins

  • Tip: Regular check-ins are essential to ensure that hosts feel ​supported and their needs are being met. These interactions are ​opportunities to reassure the host and adjust plans as needed.
  • Action: Initiate a check-in 24 hours after sending a quote, and ​again 48 hours later, to maintain momentum. Use these ​touchpoints to solicit feedback and adapt your approach ​accordingly.


3. Offer Tailored Solutions

  • Tip: Always strive to align your solutions with the host’s vision ​and budget. Be proactive in suggesting creative alternatives that ​achieve their goals without compromising the event’s integrity.
  • Action: When hosts present ideas or inspiration that are beyond ​their budget, offer comparable alternatives that fit within their ​financial constraints. Explain the value and unique appeal of ​these alternatives to guide their decisions.

4. Transparent Communication

  • Tip: Honesty is crucial in setting realistic expectations. When ​hosts have requests that exceed their budget or are impractical, ​it’s important to communicate what is achievable clearly.
  • Action: Use inspiration photos provided by hosts as a starting ​point for discussion. Clearly explain how you can achieve a ​similar feel or theme within their budget, emphasizing that ​while exact replicas are not possible, the essence of the concept ​can be maintained.




5. Educate Your Hosts

  • Tip: Educating hosts about the realistic costs of party ​planning is vital, especially for those new to event ​hosting. This education can help in gradually ​expanding their budget or adjusting their ​expectations.
  • Action: When presented with an unrealistic budget, ​gently educate the host about the typical costs ​associated with their desired outcomes. Provide ​detailed breakdowns of costs and the factors ​influencing them. This transparency not only ​educates but also opens the door to adjusting ​expectations or the budget itself.


6. Cultivate a Partnership Mentality

  • Tip: Approach each interaction as a partnership ​rather than a transaction. When hosts feel like ​partners in the planning process, they are more likely ​to trust your expertise and feel invested in the ​collaborative outcome.
  • Action: Involve the host in key decisions, seek their ​input regularly, and celebrate milestones together. ​This inclusive approach makes them feel valued and ​deepens their commitment to the collaborative ​process.


Add-Ons and Upselling Techniques

Hosts who have a budget of $5K+ often are more likely to ​add on more than they initially discussed. Keep up regular ​communication and check in on where they’re at and if ​they want more support from you. This can offer an ​opportunity for upselling and adding on additional ​elements.




How you get paid!

Planner Payments ​and Commissions

  • 5% commission on all closed parties ​- paid two weeks after the party is ​complete
  • Paid party services (onsite party fees, ​hourly fees, downpayment etc). ​PartyPlease takes a 5% commission ​and 2.5% stripe fees
  • $15/ vendor you get to join the ​platform (in effect for the next six ​mont​hs)

PartyPlease Policies

By​ Joining PartyPlease you are agreeing to:

  • Using PartyPlease chats and email to close parties. Planners are not allowed to use other or outside ​booking platforms. This will result in removal of the platform
  • Planners are under the PartyPlease ubmrella and do not solicite sales to outside personal business
  • Planners receive payouts two weeks after a closed party, ensuring client satsifaction post event
  • Any lead you bring in via your personal page PartyPlease takes 0% commission fees on

How am I assigned ​leads?

  • When starting, you’re assigned leads ​with smaller budgets in your area or ​virtually
  • The more parties you close, the higher ​you rank
  • Speed of parties closed = higher ranking ​and larger budgets assigned to you
  • If you bring in outside leads (they do not ​come in via our form and come in via ​your personal page, we take 0% ​commission and you are ranked higher
